The Operational Environment

Once the Vinstar Bank Training Series is introduced in your bank, we envisage it would operate in the following manner:

ROLE 1 - In-house Training Facilitator

The In-house Training Facilitator (ITF) is responsible for the overall management of the programme.

The ITF’s tasks will usually include:

  •  identification of students, in conjunction with bank management;

  •  liaison with the line managers of selected students;

  •  request for course material from Vinstar;

  • delivery of course material to student location;

  • request for module examination papers from Vinstar;

  • delivery of module examination papers to student location;

  • collection of module examination papers and dispatch to Vinstar;

  • delivery of module results to student location;

  • maintenance of your Student Database;

  • delivery of Performance Reports to bank management;

  • receipt of queries from the In-house Subject Specialists;

  •  logging of queries (either by email or fax) with the Vinstar Help Desk; and

  • delivery of query responses to the In-house Subject Specialist.

ROLE 2 - In-house Subject Specialist

A selected bank employee will be designated the In-house Subject Specialist (ISS) for each specific subject because of their expertise in that field.

The ISS’s tasks will usually include:

  • clarification on student queries, in the unlikely event that a student does not understand an idea or concept;

  •  in the event that they cannot provide this clarification, pass the query to the ITF; and

  •  on receipt of a query response from the ITF, provide this clarification directly to the student.

ROLE 3 - Vinstar Training Administrator

The Vinstar Training Administrator (VTA) will primarily be responsible for liaising with your bank’s In-house Training Facilitator.

The VTA’s tasks will usually include:

  •  actioning requests for course material from your bank;

  •  delivery of course material to your bank;

  •  actioning requests for module examination papers from your bank;

  •  delivery of module examination papers to your bank;

  •  actioning completed module examination papers;

  •  delivery of module results to your bank;

  •  actioning of Vinstar Help Desk queries from your bank; and

  •  delivery of Vinstar Help Desk responses to your bank.

ROLE 4 - Vinstar Subject Matter Expert

The Vinstar Subject Matter Experts (SMEs) were carefully selected for their knowledge of the subject, writing skills and knowledge of training.

Each SME is responsible for:

  •  writing the course material and ensuring that it is updated appropriately;

  •  setting and marking module examination papers; and

  •  responding to queries received via the Vinstar Help Desk from the VTA.

The Student Database

This is a Microsoft Access based product that allows the ITF to manage the training process. Student name, and course information (start date, completion date and examination results) can be input, monitored and comprehensively reported upon. Consequently, senior management are able to identify strong performers and reward them accordingly.

The Student Database can become an effective tool in developing a meritocracy within your organisation. Employees will soon understand that if they study and achieve, that their efforts will be recognised by senior management and can be rewarded.

Implementation of the Bank Training Series

The following tasks should be undertaken by the team tasked to manage the overall training process:

Startup Process

As part of the process of setting up the operational environment, the following tasks should be completed:

  • Senior management should identify and appoint the In-House Training Facilitator (ITF);

  • ITF to undertake an appropriate Training Needs Analysis;

  • ITF in conjunction with Senior Management to identify the course students;

  • ITF in conjunction with Senior Management to identify the appropriate In-house Subject Specialists (ISS);

  • ITF in conjunction with Senior Management to prepare a Training Timetable; and

  • ITF to install the Student Database (SD).

Consulting services are available from Vinstar to either assist your organisation to undertake the Startup Process or to help train the selected ITF to undertake the Startup Process.

Establish Operational Environment Process

This process establishes the operational environment for the Vinstar Bank Training Series at your organisation. The tasks to be undertaken are as follows:

  • ITF to establish contact with Vinstar Training Administrator (VTA);

  • ITF to organise course materials;

  • ITF to review “roll out” procedures;

  • ITF to review examination procedures;

  • ITF to review query procedures; and

  • ITF to review SD maintenance and reporting requirements.

Consulting services are available from Vinstar, both remotely and at your location, to assist the ITF in the process of establishing the operational environment.
